"In an economy that is now more information based than industrial, and where companies are being forced to downsize due to the financial crisis, increasing the productivity of the information worker has become imperative...research demonstrates that investment in better information access, management, and collaboration tools and processes pays for itself, often in a matter of months. When knowledge work is automated, not only are enterprises more efficient but their relationships with customers, partners, and suppliers are improved immeasurably."

Getting Started

Getting Started - Configuring Enterprise Super Search Options

1. Open Enterprise Super Search
2. Select Tools>Options

General Tab Options

  • What do you want to search? Check the categories here which options which you will want to search. By default everything is enabled.

Email Options

  • What do you use for your email? Microsoft Outlook, Outlook Express, Lotus Notes, or Thunderbird? Here you should see your folders. By default it should try to check the right folders for you.

Files Options

  • Where are your files stored? for example..."My Documents","My Desktop", a network mapped drive like the "X-Drive"? Here you can modify and pick exactly where you want it to index and search.
    Network Permissions to Shared Folders

Note: If you are going to index mapped drives. If there are certain folders that you do not have permission or rights to normally, you will still not have access to them through Enterprise Super Search. ESS only has as much permissions as the person using it.

  • To Add another file location, Select the Add button. Select "My Computer" to find additional mapped drives.

Browser Integration Option

  • Do you want to be able to search your favorites or bookmarks in your browser?  Do you want to be able to search through the sites that you have visited in the past?

Task Bar Integration Option

  • Enterprise Super Search offers a quick search for XP users. This toggle option turns on and off the desk bar and can limit the amount of displayed results.

Indexing & Performance Options

  • Enterprise Super Search (ESS) by default will index new emails and files that you create locally on your computer. However, if you have ESS index & search mapped network drives it does not monitor or know when another user creates a new file or puts a document out on the network, hence the need for a "Scheduled Index" refresh. A refresh only looks for new or modified documents on the network. To adjust the "Scheduled Indexing", normally you can just modify the default schedule, by selecting modify "Custom Schedule".

Modifying the "Custom Schedule"

  • If you work most of the time with documents stored on mapped network drives, then consider increasing the refresh of your index to be more frequent for the "Documents" schedule. Otherwise, by default it will be 4 days before ESS realizes there is a new document out on the network. If this is acceptable then just leave the schedule as is.

  • Below the "Scheduled Indexing" options are the "Indexing Performance" options. If your computer is fast then you can consider modifying these options. During the indexing process of your documents and emails ESS has to utilize temporarily some of your resources to read & index your documents. Otherwise, if you have a computer that is currently "barely" fast enough we would advise you not to modify those options.

Advanced Options

  • Consider raising the default of the "Maximum file size for content indexing" to a higher number if you have large file sizes such as scanned documents that are 150+ pages in size. In this example you could consider raising it to 20 MB or 30 MB.

Adjusting the Preview Pane

  • Most users prefer the Preview Pane of the documents to be on the right side of the search results vs. below the search results. Especially with wider monitors. This makes document searches easier to perform.
