Overview
The Standard Office Scan Pack is a simple yet effective solution for scanning & retrieving documents. The Standard Office Scan Pack provides a standardized solution for offices and departments to be able to properly name their scanned files directly at the Xerox WorkCentre. Without the Standard Office Scan Pack, most departments & companies in just a few years will have hundreds, if not thousands of scanned PDF files that are named "scanxxxx.pdf"(the default file name assigned by most Xerox MFPs). These unidentified PDF files generate a lot of wasted space on the server and the information contained within the PDF files may never be able to be retrieved again especially if they are stored in PDF image format.
The Standard Office Scan Pack enables users to enter key document metadata such as a document file name, date or perhaps an invoice number, vendor name, etc. These key meta-data fields are usable to increase your retrieval efficiency even if files are not Text Searchable PDFs. Since the Standard Office Scan Pack is Workgroup Centric, all authorized users of the Xerox MFP can have access to these features. Plus, The Standard Office Scan Pack provides a robust Network OCR, that converts scanned documents to Text-Searchable PDFs . This provides excellent search-ability and retrieval for text based documents such as invoices, sales orders, & legal documents. In addition, the embedded OCR engine can convert scanned images to Microsoft Word & Excel formats saving a lot of time and effort when creating, processing and repurposing various documents. Optical Character Recognition, usually abbreviated to OCR, is the electronic translation or recognition of printed text from scanned documents. Once the text from the scanned document has been "OCR'd" or recognized it can be formatted & converted to editable formats such as Microsoft Word or Excel. In addition, Text-Searchable PDFs can be created from OCR'd scanned documents. This type of PDF looks like the original document, however it has a layer of the recognized text behind the image. Thus, Text-Searchable PDFs created from OCR can provide excellent search & retrieval capabilities for scanned paper documents. Creating text-based documents from scanned documents can then be used for other processes including language translation (such as converting documents from English to Spanish), text-to-speech recognition (programs that can read documents to you), and text mining. OCR is a field of research in pattern recognition, artificial intelligence and computer vision. "Intelligent" OCR has a high degree of recognition accuracy and support for most document fonts. "Intelligent" OCR is also capable of reproducing formatted output that closely approximates the original scanned page including images, columns and other non-textual components.

Text-Searchable PDF files are a must have for archiving text-based documents such as invoices, sales orders, & legal documents. With Text-Seachable PDFs and Enterprise Super Search or other document management systems, finding documents is a breeze. Text-Searchable PDFs enable you to search & retrieve scanned documents by the actual content in the document. PDF security is also possible. For archiving purposes, documents can be converted into PDF/A format, which is the standard archiving format.
